AVE Certified Dormitory Management Guidelines

1.0 The purpose is to make dormitory management work procedural and standardized and to improve the efficiency of dormitory management work.

2.0 Scope of application: Applicable to dormitories of all staff members in this factory.

3.0 Operational Guidelines
3.1 Arrange accommodation for employees and explain dormitory rules and requirements for standardized dormitory management to new employees.
Employees will be arranged to move in around 5:30 pm, and accommodation will be arranged by department and area. The Human Resources and General Affairs Department can make accommodation adjustments based on production needs and actual accommodation conditions. Departments and personnel who need to move dormitories must apply to the Human Resources and General Affairs Department, which will arrange whether to move.

Before new employees move in, the dormitory manager should conduct on-site training for them, explain the dormitory management rules and dormitory standardized management requirements and other dormitory-related regulations and precautions to new employees: such as hygiene requirements and standards, rest time regulations, requirements for saving electricity and water, attention to fire safety, prohibition of smoking, prohibition of bringing knives, scissors and other dangerous weapons, etc., so that employees can adapt to the new environment as soon as possible and lay a good foundation for the smooth development of dormitory management in the future.

3.2 Cultivate employees' civilized and hygienic habits, and strictly prevent bad behaviors or incidents such as fighting, brawling, gambling, etc.:
Employees are recruited from different places and have different living habits. They are prone to bring some bad habits to the factory. If they are not discovered and stopped in time, they are easy to spread, which will increase the difficulty of future management. Therefore, dormitory managers must always pay attention to the words and deeds of employees, stop bad behaviors in time when they are found, and guide them so that employees can adapt to the management and work of the factory and consciously develop civilized and hygienic habits. Once fighting, brawling, gambling and other incidents occur, the security department and personnel and general affairs department personnel should be notified in time.

3.1 Care about employees’ lives, understand and report employees’ mentality in a timely manner:
The mentality of employees reflects the inner activities of employees in a certain period of time. Through the analysis of the mentality of employees, we can understand the problems existing in our current work, such as: employees’ dissatisfaction with food, wages, accommodation, whether the dissatisfaction has an adverse effect on production and management, etc. Dormitory managers live among grassroots employees, which is convenient for collecting information reflecting the mentality of employees, and providing information to superiors for analysis in a timely manner, so as to take effective measures to prevent the occurrence of undesirable phenomena, further improve personnel general affairs work, and improve the efficiency of personnel general affairs work.

3.2 Strictly control water and electricity usage, save water and energy, and eliminate waste.
Propaganda "Cherish water resources, save energy" is a long-term need for our management work. Some employees have a weak sense of saving, which is manifested in turning on the faucet and turning on the lights and fans without turning them off, resulting in water or energy waste. In addition to controlling daily water and electricity consumption, dormitory managers need to cooperate with the Personnel and General Affairs Department to carry out publicity and education work, mainly posting slogans. Turn on and off the power supply at the specified time, patrol the bathroom more often, and stop the waste of water in time. Supervise the cleanliness of the dormitory, create a good accommodation environment, and implement the standardized dormitory management system: The cleanliness of the dormitory directly affects the information and work of employees. Therefore, creating a good accommodation environment is an important task for dormitory managers.

Dormitory sanitation (including balconies) is assisted by residents or dormitory managers. The sanitation of public corridors and surrounding environments is the responsibility of general cleaners. Dormitory managers need to evaluate the daily cleaning results, keep records of unsanitary areas or dormitories, and report to superiors for handling. For rooms or individuals that do not meet the standardized dormitory management requirements, a notice will be issued to correct them within a time limit. Repeated or seriously non-compliant rooms or residents will be punished in accordance with the "Factory Rules and Regulations".

3.3 Take good care of the company's property, protect it from harm and repair the company's dormitory items and equipment:
All company items belong to the company, and no one is allowed to occupy or damage them privately. The occupation of company items mainly means taking the company's tape, batteries, antennas, toys and other items for personal use. If the dormitory manager finds any employee occupying or stealing company items, he/she shall immediately report to the Human Resources and General Affairs Department, which shall impose penalties. In case of changes, doors and windows should be closed in time to avoid damage to doors and windows. If dormitory items and equipment are damaged, they should be reported for repair immediately. The cleaner in the bathroom shall notify the dormitory manager for repair, and the dormitory manager shall be responsible for repairing other places.

3.1 Release of resignation procedures The release of luggage of resigning personnel usually starts at around 12:45 in the morning and 06:15 in the afternoon. The dormitory manager must carefully check the luggage of the resigning personnel, paying special attention to whether there are any company items. Only after confirmation can he sign the luggage release slip and indicate the release time.

3.2 Emergency incident handling:
If an employee is absent from work due to illness, the cause of the illness must be found out and reported to the head of the Human Resources and General Affairs Department. If an emergency occurs in the dormitory area, it should be reported to the doctor and the Human Resources Assistant or above in a timely manner. In case of other emergencies, it should be reported to the Human Resources and General Affairs Department immediately. During off-duty hours, it can be reported to the duty manager or security department.

3.9 Employees can enter and leave the dormitory at any time after get off work or on holidays. They must wear the correct factory uniform and show their factory ID. If they encounter any suspicious circumstances or persons, the dormitory management staff will question them politely.

3.10 A leave application or a release slip is required to enter or leave the dormitory during working hours. The dormitory manager can inquire about the persons entering or leaving the dormitory during working hours and check the release slip or leave application.

1.0 Employees have the right to privacy in their dormitory life. No one may search employees’ belongings without reason, and no one may confiscate employees’ normal daily necessities or cause physical harm to employees.

4.1 Employees are strictly prohibited from staying in the room of the opposite sex during their stay in the company;
4.2 It is strictly forbidden to bring toxic, harmful, flammable or explosive items into the dormitory area;
4.3 It is strictly forbidden to bring open flames into the dormitory;
4.4 It is strictly prohibited to privately pull or connect wires, or to modify the electrical equipment, sockets, etc. in the dormitory without permission.
4.5 It is strictly forbidden to throw garbage, especially items that are difficult to dissolve, into the sewer or toilet;
4.6 It is strictly forbidden to steal other people's or company's property; or to collude with outsiders to steal other people's or company's property;
4.7 It is strictly forbidden to gather in the dormitory to cause trouble or fight.
4.8 Those who violate dormitory management regulations will be punished according to factory rules and regulations. In serious cases, their dormitory qualification will be cancelled. Those who violate national laws and regulations and constitute criminal offenses will be sent to national administrative agencies.
